When delivering services to clients (including end-customer data processed under client engagements), HIP typically acts as a Data Processor on behalf of the client, governed by the applicable SOW and Data Processing Addendum.

2.1 Information You Provide
We collect information you directly provide, including:
- Contact information: name, email address, phone number, company name, role.
- Engagement information: project requirements, business context, materials shared during discovery, scope documents.
- Account information: credentials and account access provided by you for delivery purposes (e.g., GHL, HubSpot, hosting, AI provider accounts) — typically transferred and not stored long-term.
- Payment information: billing address and tax information. We do not store full payment card numbers; payments are processed by third-party providers (e.g., Stripe).
- Communications: the content of emails, Slack messages, calls, and meeting notes you exchange with us.
2.2 Information Collected Automatically
When you visit the Site, we automatically collect:
- Device & connection data: IP address, browser type, operating system, device identifiers, referring URLs.
- Usage data: pages visited, time on page, clicks, and interaction patterns via analytics.

5.3 Business Transfers
If HIP is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to applicable legal protections.
5.4 White-Label & Confidentiality
For white-label engagements with partner agencies, HIP maintains strict separation between agency-partner data and end-customer data. HIP does not contact, market to, or communicate with partner agencies' end customers, and treats all end-customer information under heightened confidentiality consistent with the partner NDA and applicable SOW.
6. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy, including:
- Active engagement information: for the duration of the engagement and a reasonable period thereafter.
- Billing and tax records: as required by applicable tax, accounting, and legal obligations (typically 7 years).
- Marketing communications: until you opt out or we determine the information is no longer relevant.
- Analytics data: typically retained in aggregated or anonymized form.
- Client account credentials: returned or deleted at engagement close, except where retention is necessary for a defined post-launch support period.
When information is no longer needed, we delete, anonymize, or securely archive it consistent with applicable law.

When operating AI systems for client engagements (e.g., voice agents, chatbots) we configure systems to comply with the client's privacy obligations and the applicable SOW/DPA. Client data processed by these systems is governed by the engagement-specific agreement, not this Policy.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Updates take effect upon posting to hipagency.ai with a revised “Last updated” date. For material changes, we will provide prominent notice on the Site and, where required, additional notice (e.g., email). Your continued use after an update constitutes acknowledgment of the updated Policy.
